General ILS Administration

Staff members of the Collection Development Department and the IT and Development Department of the University Library ensure the full range of administrative tasks related to the Integrated Library System (ILS). These include handling requests regarding collections, running queries and services, performing deletions and corrections, configuring pre-installation tables, and setting up reader notifications, statuses and permissions.  ILS Guide

The ILS Information and Support Platform compiles general information necessary for the use of the University-wide Integrated Library System. It includes standardized guidelines for the formal and content-related elements of records, workflows for electronic lending and patron management, and relevant news and updates.

The guide is compiled and regularly updated by staff members of the University Library and Archives and is accessible within the ELTE IP domain.

 ILS Integration

The University Library Service of Eötvös Loránd University (ELTE) operates a unified Integrated Library System. (ELTE Organizational and Operational Regulations, Volume I, Annex 8: Organizational and Operational Rules of the University Library Service)

The preparation, coordination and data migration involved in ILS integration are complex professional and technical processes carried out by the University Library and Archives. The goal is to integrate a library into a shared, unified library information system. Preparation includes mapping existing systems, data and workflows, as well as ensuring compliance with relevant standards and technical requirements. Coordination ensures cooperation among stakeholders, scheduling and task synchronization. During migration, data such as holdings records, patron information, as well as loan histories are transferred and imported into the ILS, including quality checks and necessary data cleansing. The ultimate objective is a seamless transition and the effective, unified use of the system.

 ILS Training

The University Library offers professional training courses twice a year for University Library Service staff, focusing on the following topics:

  • Journal processing in the Cataloging module
  • Journal management
  • Cataloging module usage
  • Cataloging services
  • Circulation module usage
  • Circulation services
  • Processing of rare books in the Cataloging module
  • Subject indexing (beginner level)
  • Subject indexing (advanced level)

Course announcements are distributed via the KOLIBRI librarians' mailing list, and registration is possible by sending the required information as specified in the announcement to ikr@lib.elte.hu.

In addition to basic training, the University Library also offers annual refresher courses, which focus on identifying and correcting common errors, tracking changes in the shared ILS and presenting related services. Participation in refresher courses is mandatory for all library system users every three years. Related information – such as training schedules and mandatory participation – is available via the EKLApps platform.
